Intuit Data Protect Nightmare

Well, I know you have heard the old saying, "the dog ate my homework".  Last week it was "the cat broke my computer".  Yes, "the cat", that would be Simba, which can be seen on my Facebook page.  Oh, I cannot blame it all on the cat as it was my fault bringing the computer into the kitchen to multitask and eat breakfast while working.  The doorbell rang, Simba jumped out of the window, caught my computer on the jump down and sent it flying to my kitchen floor.

Off to the Apple store to have it fixed.  I could still start it, but the screen was dim and you could not really see what was on it.  I figured, being that this is a Mac computer, some geek at Apple would open it up, replug what undid back in and I would be off and running.  Well, no such luck.  They had to send it out to fix it, approximately 7 business days.  

So, now what do I do?  I purchased another computer (was on my list to do this year anyway since my computer was three years old).  Now comes the fun part, putting everything back.  As you know, I constantly nag about "backup backup backup".  I use backup.com (the QuickBooks version) and the new product Intuit Data Protect (IDP)*.

Since I was backing up using IDP at the time of the "crash", all of my backup did not complete.  With IDP, there are no extra backups.  The last one you have is the only one you get.  I have approximately 20 data files on my computer alone.   Seven backed up prior to the computer taking a tumble.  I called the ProAdvisor line to ask how do I restore from the backup from the prior day?  The answer is "you don't".  When you backup, it overwrites the earlier backup.  They do save that backup on their server for 45 days, but if I did not also have a second online backup program, I would have no copies of my other 13 data files.  

The moral of my story is do not rely on one backup system.  I was unaware how the newer program worked.  It would have been catastrophic for me to have lost these other files.  Fortunately, backup.com program backed up my data files as well.  I was able to go to that program to restore my other files.  I have been so busy, I have not had time to play around with IDP (by making a backup and restoring it).  

My recommendation to all of my clients is to not use this product yet.  Not until you have a way to save several backups.  I have seen it happen too many times where someone will create a backup and it won't restore.  If that happens and you use IDP, you have to other alternative as that is your only copy.  If they do want to use it, make sure you have another backup system in place as a fall-back.

*IDP is a new backup program for QuickBooks 2011.  ProAdvisors have this included with their membership.

And to answer your question.....yes, Simba is still alive and jumping and hanging out in the window.  We call it watching Gecko TV.  He loves to watch the Gecko's run up and down the palm trees.

A data problem prevents QuickBooks from continuing.....

This is a message you never want to see when you are opening QuickBooks or are working in QuickBooks.

So, what does this mean?  

It means you have a structural problem in the data (Company) file.  

How do you fix it?

Run the Rebuild Data utility to repair the damage:  (Note:  You need to be in single user mode and do not rebuild the data file over a network.  Move the data file to your hard drive to perform this task.)

  • First go the icon "windows" and select "close all".  
  • Then go to "file".
  • Select "utilities".
  • Then select "rebuild file".


  • Next you will be asked to backup your data file.  If you see the warning message "do you want to replace the backup file, select "No".  Do not overwrite your last backup file.  Create a new one, either with a unique name or save it to your desktop or hard drive. **












 
  • At the bottom of the QuickBooks Backup window, click "OK".
  • Next the rebuild process will begin.   Click okay to start rebuilding.  







































  • Once the process is complete, go to "file" and then "close company".  This will refresh your list.
  • Re-open QuickBooks and that data file.  
  • Go to "file", "utilities" and then "verify".  If the problem still exists, repeat steps above.    

 Sometimes you have to rebuild the file a few times for it to repair the file.  

Of course it is best to keep your data file healthy at all times so you can avoid the rebuild process all together.  Please refer to a past post "Data base fragments how to keep your file healthy"for details on how to do this.

**If the backup process fails, at the Rebuild prompt, click "Cancel". Do not continue the Rebuild process with your original company file if the back up process does not complete successfully. This can lead to permanent data loss.  You must make a copy of the company file and attempt the Rebuild process again using the copy of the company file.  Rename the copy of the company file with a unique name to avoid confusion with the original file.

Free Trial of QuickBooks 2011

Well for some reason, Intuit decided to do away with the free trial of the Premier program of QuickBooks for 2011.  It is too bad because it was a great way for a client to look at and try out the program before purchasing.  I cannot tell you how many people I convinced to go to Premier from the Pro product by offering them a chance to test drive the product before they purchase it.
But they did not do away with it all together.  Fortunately, they still let you try out the online version, Mac product and Enterprise Solutions.  Enterprise is very similar to Premier.  Here is a link to the free trials.

Now, I have to caution anyone wanting to see the new program in action, DO NOT UPGRADE YOUR ONLY DATA FILE INTO THE FREE TRIAL OF ENTERPRISE SOLUTIONS.  Once you do, there is no going back to using it in Pro.  That is considered going "backwards" by Intuit.  Once you change the file to Enterprise, the only way to go back to Pro or Premier is to have a company do that for you by transferring the data to a new data file or by you purchasing 3rd party data transfer program and doing it yourself. 

But of course, since all readers of my Blog back up their data file all the time, you can always restore a recent backup if you did update the file to Enterprise by accident.
